Thermal printer prints blank labels: what each pattern means

Blank labels are three separate faults wearing the same coat. Before changing anything, watch what the printer does over four or five labels — the pattern identifies the cause, and the three fixes have nothing in common.

Which pattern do you have?

Every label blank: the roll is upside down

Direct thermal stock has no ink anywhere in the system. The print head applies heat and the coating on the label darkens. That coating is on one side only, so a roll loaded the wrong way round presents the uncoated back to the head. The printer works perfectly, pulls the label through and heats nothing.

The test takes a second:

  1. Tear off a label.
  2. Scratch it firmly with a fingernail, a coin or a key.
  3. The side that goes grey where you scratched is the thermal side — that is friction heat doing exactly what the print head does.

That side must face the head. On most desktop units the head is on top, so the printable side faces up.

If both sides refuse to mark, the stock is not direct thermal at all — it is thermal transfer, which needs a ribbon. In a printer with no ribbon it will never produce anything but blanks, and no setting will change that.

Every other label blank: calibration

One correct label, one blank, repeating. The printing is fine, so the data is arriving fine. What has gone wrong is the printer's idea of where a label ends.

Die-cut rolls have a small gap between labels, and a sensor watches for it to know when to stop. If the printer has not measured your particular gap, it misjudges the label length — reading two labels as one — and advances an extra blank each time to get back in step.

The fix is calibration, and it is a physical routine rather than a setting on the Mac. On most printers in this class you hold the FEEDbutton for around five seconds until the status light changes; the printer then pulls a few labels through, measuring as it goes, and stops. Exact timings differ per model, so check the manufacturer's instructions for yours.

Set the media type before calibrating, not after. Die-cut with gaps, continuous, and black-mark stock are sensed in three different ways, and calibrating against the wrong one produces a confidently wrong measurement.

One partial label, then blanks: the file is too big

This is the one people rarely diagnose correctly, because the printer looks like the culprit and is not.

If a Letter or A4 page is sent to a 4x6 roll and the driver is not set to scale it, the page has to go somewhere. Some drivers spread it across several labels — the first carries whatever fell in the top-left corner, and the rest carry the empty parts of the page. Four blanks after one odd-looking label is a page being tiled, not a printer fault.

Check with Cmd+I in Preview. A page reading 210 × 297 mm or 8.5 × 11 in is the answer: the label needs cutting out of the page before it goes anywhere near the roll.

Scaling it down instead stops the blanks and costs you the barcode — an A4 page fitted onto a 4x6 label lands at about 48% of its original size, and barcodes stop reading reliably well before that.

Blank labels only in batches

If single labels are fine and a run of twenty produces scattered blanks, the cause is usually neither of the above. A multi-page PDF goes to macOS as one job, and anything that interrupts it — the roll running out, a jam, a USB hub dropping the connection — leaves the rest of the job to finish printing into whatever is left.

Splitting the file into individual labels first contains the damage. A failure then costs one label rather than the batch, and you can reprint the one that failed instead of sending all twenty again.

Still blank after all three

Print the printer's own self-test — usually a button combination at power-on, and documented in the manual. It bypasses the Mac entirely.

It is a thirty-second test that decides which half of the setup to investigate, and it saves reinstalling a driver that was never the problem. If it points at the Mac, start with the print settings.

Why is my thermal printer printing blank labels?
